Why Can't a User See Ideas or KPIs?
Overview
Even though a user may have the necessary role permissions to view Ideas or KPIs, WiredUp has an additional layer of access control that is assigned at the user profile level. This means that having the correct role permissions alone is not sufficient - users must also be granted specific data access to departments or sub-departments where Ideas and KPIs are located.
This FAQ explains how WiredUp's access control works, why users with correct permissions might still not see Ideas or KPIs, and how to grant the appropriate access to resolve this issue.
Understanding WiredUp's Two-Layer Access Control
WiredUp uses a two-layer access control system to manage what users can see and do:
Layer 1: Role Permissions
Role permissions determine what actions a user can perform in the system. These permissions are configured in Administration > Roles and are assigned to users through their role assignments.
Layer 2: Data Access
Data access determines which specific Ideas and KPIs a user can see based on their organizational structure access. This layer provides:
- Department/Sub-department Access: Grants users access to Ideas and KPIs within specific departments or sub-departments
- Multiple Access Levels: Users can be granted access to multiple departments or sub-departments
Important: Both layers must be configured correctly for a user to view Ideas or KPIs. Having role permissions without data access will result in the user not seeing any Ideas or KPIs (except for Global ideas or KPIs)Why Can't a User See Ideas or KPIs?
If a user has the correct role permissions but still cannot see any Ideas or KPIs, the most common reason is that they have not been granted data access to the relevant site level, departments or sub-departments.
Common Scenarios:
- User has "View Ideas" permission but no site/department/sub-department access configured
- User has "View KPIs" permission but no site/department/sub-department access configured
- User's access was recently removed or not set up during account creation

If a user still cannot see Ideas or KPIs after granting access, verify the following:
- Role Permissions: Confirm the user's role has "View Ideas" and/or "View KPIs" permissions enabled
- Data Access: Verify the user has been granted access to the correct site/department/sub-department
- Ideas/KPIs Exist: Confirm that Ideas or KPIs actually exist in the departments the user has access to
- User Has Logged Out: Ensure the user has logged out and back in after access changes
- Portfolio/Site Access: For multi-site instances, verify the user has access to the correct site or portfolio
